To help agents focus on what’s best for their business, Ask Magis Realty provides on-demand Transaction Coordination Services. Our flexible plans offer professional support at a fraction of the cost, ensuring you get the assistance you need without overspending.


We are available by phone and email to all parties during business hours, Monday through Friday, from 9:00 AM to 5:00 PM CST. Any requests received outside of business hours—including LOIs or offers—will be addressed the following business day.


What The Agent Does
The agent, as the owner of the transaction, is fully responsible for overseeing all aspects of the deal. This includes managing contract price and terms, key deadlines, earnest money, option fee, CMA and resolving any due diligence document issues. 


Once under contract, communicate the “Pass the Baton” message to all parties involved. This helps set your TC up for success. Don’t forget to complete the Intake and New Transaction Form, attend appointments, and handle all negotiations related to appraisal, title, HOA, and more.


Your TC team is here to remove non-production tasks so you can focus on what you do best—serving clients and closing deals. They’ll manage timelines, coordinate with title and lenders, ensure compliance, and keep everything on track through closing.

Contract to Close

 Contract Management
 $299 (50% non-refun deposit)

 

- Review contract documents for compliance and enter into broker’s storage.

- Deliver contract documents to all parties and introduce key personnel.
- Ensure timely submission for broker compliance within three business days, and CDA 5 days prior to closing.

- Ensure timely submit CDA to the escrow agent for disbursement
- Maintain and update transaction docs on broker’s applicable systems.
- Update critical dates: Executed, Option Expiration, Closing, Financing, HOA…
- Follow up with the title company and agent to make sure earnest money and option fee delivery methods are acknowledged. 
- Update status of transaction on applicable systems. 
- Maintain a communication and correspondence log in Brokerage Lofty & Dotloop.
- Obtain earnest money receipt from title company and deliver to all parties. 
- Follow up on required disclosures, HOA documents, survey, T47 affidavit, and title commitment.

 

Inspection/Appraisal and Repair Coordination

- Confirm inspection/appraisal appointments with the  agent, and remind sellers to turn on all utilities.
- Follow up with the agent about the repair request and send an amendment to buyers/sellers.
- Obtain repair receipts and deliver to related parties if applicable.

 

Lender Coordination

- Remind agents to notify the lender ASAP if any concession.
- Maintain regular communication with lenders to monitor loan status


Pre-closing Coordination

- Obtain the house info for clients for the greater move-in/ move-out experience. 
- Schedule and communicate the final walk-thru and remind the seller to leave utilities ON. 
- Schedule the closing schedule and create calendar invitations.

 

Post-closing Coordination

- Confirm funding with title company and notify agent and client
- Obtain closing documents: copy of checks, closing settlement, copy of final walk through and acceptance, broker notice to buyer(s) and submit for broker compliance. 

- Verify all agents' & company's compensation checks before closing the file.

Listing Coordination

Listing Coordination

$199 with 100% due upon service request. 

- Prepare representative agreement and send it to the agent for approval (agent to provide CMA and listing price) and obtain sellers' signatures. 
- Enter listings in MLS with details supplied by the agent, disclosures and send for agent or seller's approval (24-48 hours). 
- Obtain seller's initial acknowledged MLS - Active and submit for compliance. 
- Submit all listing documents for compliance within 3 days and save files into the company storage. 
- Coordinate with appointments schedule.
- Upload photos into MLS same day when received before 12PM and the next day.
- Add Open House details on MLS if applicable.

- - Maintain a communication and correspondence log in the Brokerage Lofty and Dotloop.

Photography Coordination 

Property under 4,000 Sq Ft

- 4000 - 5000: add $25.

- 5000-6000: Add $35.

- Above 6000: Add $65

Buying Coordination

Buyer’s Pre-Contract to Close Coordination

$199 with 100% due upon service request. 


- Prepare Buyer’s Representative - Agreement documents and send them for agent approval and signature. 
- Submit for compliance review within three days and securely save files.
- Ensure compensation disclosures and amendments align with NAR Settlement rules.

- Maintain a communication and correspondence log in the Brokerage Lofty and Dotloop.


Offer* Coordination

- Prepare offer documents and send them for agent approval (agent to provide CMA and offer price)
- Submit the offer to the listing agent and assist with any counteroffers.
- Obtain executed signatures from both the buyer and seller.
- Deliver fully executed contract documents to buyer's agent.
